Frequently Asked Questions

Answers to Common Questions

Click on any question below to view detailed guidance regarding timing, vendors, sound, and payments.

Timing & Operating Access What time can my decorators and caterers begin setup?

Our standard rental operating hours run from 7:00 AM to 10:00 PM. Your decorators, caterers, florists, and production crew have full gated access to the Tikvah Tent and grounds starting promptly at 7:00 AM on the morning of your event date.

Key Takeaway: Setup starts at 7:00 AM. In accordance with Kigali environmental regulations, all celebration music and guest departures must conclude strictly by 10:00 PM.
Security & Refundable Guarantee How does the RWF 70,000 security deposit work?

The security deposit is a mandatory refundable guarantee of RWF 70,000 due no later than 48 hours prior to your event date. This deposit protects against property damages, missing items, uncollected vendor waste requiring specialized disposal, or unauthorized overtime past 10:00 PM.

Following your event, our facilities team conducts a walkthrough inspection alongside your representative. If no damages or overtime occur, the full RWF 70,000 is refunded directly to your nominated account within 3 business days.

Key Takeaway: 100% refundable within 3 business days once the property is handed back in clean and undamaged condition.
Cancellation Policy Are payments refundable if I need to cancel my celebration?

As stipulated in our Venue Rental Agreement, all paid rental instalments are non-refundable. When your date is booked, TIKVAH permanently declines all other prospective clients and event committees requesting that same day.

In the event of unavoidable scheduling changes, clients are eligible to request date postponement rather than cancellation, allowing all funds to be transferred forward without forfeiture.

Key Takeaway: Paid instalments are non-refundable. Postponements to open calendar dates are readily accommodated without loss of funds.
Date Rescheduling What happens if I need to postpone my event date?

Date postponements are granted subject to availability on TIKVAH’s official master calendar. If your newly proposed date is open, our management team will transfer your existing contract and balance forward seamlessly.

Please notify us in writing as soon as you anticipate any date changes. A postponement becomes legally binding once written confirmation is issued by TIKVAH management.

Key Takeaway: Flexible rescheduling to open dates with zero penalty when confirmed in writing with our venue directors.
Force Majeure Protocol What is the policy for unforeseen events beyond anyone's control?

In cases of natural disasters, severe storm acts of God, structural fires, government directives, national security events, or epidemics that make holding the gathering legally or physically impossible, neither party is held liable for breach of contract.

All amounts previously paid are not forfeited—they are 100% credited toward an agreeable alternative date agreed upon once safe operating conditions resume.

Key Takeaway: 100% of your paid funds are protected and credited toward your rescheduled celebration date.
External Vendors & Sound Can I bring my own caterer, sound engineer, and decorator?

Absolutely yes. TIKVAH does not lock you into proprietary catering or decor packages. You have full freedom to contract your preferred caterers, cake bakers, decor artists, DJ/sound teams, and photographers.

The client remains responsible for the conduct and discipline of third-party vendors. All vendor food prep trash, packaging, and decoration waste must be bagged and cleared by 10:00 PM.

Key Takeaway: No restrictive exclusive vendor policies. You choose your own culinary and decor team freely.
Executive Bridal Sanctuary Can the bridal party sleep overnight in the Bridal House?

The Bridal House is designed as an executive, private day-use preparation sanctuary. It includes an air-conditioned plush living lounge, velvet armchairs, full-length dressing mirrors, makeup vanities, and a slate-tile bathroom with hot shower.

It is included for daytime preparation and VIP retreat from 7:00 AM to 10:00 PM throughout your booking date. It is strictly not an overnight hotel or sleeping lodge; all personal belongings, gowns, and makeup luggage must vacate by 10:00 PM.

Key Takeaway: Dedicated executive day-use preparation retreat throughout your rental (7 AM – 10 PM). Overnight stays are not permitted.
Financial Deadlines When are the payment instalments due?

Every booking is structured through our clear 2-instalment schedule designed to give committees financial predictability:

Instalment 1 50% at Booking

Locks and seals your date exclusively on our calendar.

Instalment 2 50% 14 Days Prior

Clears remaining balance ahead of final coordination.

Security Deposit 70,000 RWF (48h Prior)

100% refundable within 3 business days post-event.

Key Takeaway: 50% locks the date, final 50% due 14 days before, and refundable deposit due 48 hours prior.
